All Documents
The All Documents page shows every document in your collection in a single list. It’s useful for getting a bird’s-eye view of everything you have, finding specific documents, or managing several documents at once. You can get to it by clicking All Documents in the left sidebar. When you have a workspace active, this page shows only documents in that workspace. Switch to Everything to see your full collection, or choose Not in any workspace to see only documents that haven’t been added to a workspace yet.
Sorting
Section titled “Sorting”Click the Sort By button to change how documents are ordered. There are six options:
- A-Z and Z-A sort alphabetically by title.
- Oldest First and Newest First sort by the date each document was created.
- Oldest Modified and Latest Modified sort by the date each document was last updated.
When you sort by a date, a date column appears in the list so you can see the relevant timestamps at a glance. When sorting alphabetically, only the title and metadata columns are shown.
Filtering
Section titled “Filtering”A row of filter buttons sits above the document list. You can combine as many filters as you like, and a count of active filters is displayed so you always know when filters are narrowing your view.
- Search reveals a text field that filters documents by title as you type.
- Users lets you show only documents owned by specific users. “Me” is always available, along with any other users who own documents you have access to. The dialog also has Select all, Deselect all, and Shared with me buttons at the bottom for quick filtering. When “Shared with me” is active, only documents owned by others are shown and the individual user checkboxes are disabled.
- Relations controls whether documents with no references are included, excluded, or shown exclusively. This is helpful for finding “orphan” documents that aren’t linked to anything else.
- Types lets you show only specific document types: text, drawing, or calendar.
Document Details
Section titled “Document Details”Each row in the list shows:
- A document type icon (text, drawing, or calendar).
- The document title, which you can click to open the document.
- The number of users with access to the document.
- Counts for outgoing references and incoming references.
- When sorting by date, the relevant date column (created or last updated) appears alongside the other columns.
You can hover over dates and counts to see more detail in a tooltip.
Selecting Documents and Bulk Actions
Section titled “Selecting Documents and Bulk Actions”Each row has a checkbox on the left. Click to select individual documents, or shift-click to select a range. Once you have documents selected, the Actions dropdown becomes available with three options:
- Move Within Your Tree moves the selected documents to a new position in your document tree.
- Manage Sharing lets you adjust sharing settings for all selected documents at once.
- Add to Workspace, Move to Workspace, and Remove from Workspace for managing which workspace documents belong to.
- Delete All deletes the selected documents.
If some of your selected documents are hidden by your current filters, a warning appears letting you know how many selected documents are not visible. This way you won’t accidentally act on documents you can’t see in the list.
You can also click the document’s title to open it (mod+click to open in a new tab).
Context Menu
Section titled “Context Menu”Right-clicking a document opens a context menu with additional options:
- Split right, Split down, or New tab to open the document in different pane layouts.
- New Document as Tree Child to create a new document nested under the one you clicked in the tree.
- Add to Workspace, Move to Workspace, and Remove from Workspace to manage workspace membership.
- Delete Document to delete it.
